Important Speaker Information for 2025 National Conference

If you are a selected speaker for the 2025 national conference, please review the information below to insure a smooth process for your speaking engagement.

Important Note

The American Association of Nurse Practitioners® (AANP) is implementing new systems to streamline the speaker experience. All future speaker communications will be sent to the email address associated with your AANP account. Your AANP account email address is also associated with your conference registration waiver and sessions within the Speaker Portal. Please ensure that your AANP account is up to date with an email address you check regularly.

 

Registration

Your complementary registration waiver has been added. Please register for the conference using the email address associated with your MyAANP account.

At checkout, the balance will zero out and there is no code needed. If your waiver is not automatically populating or if your email has changed, please contact the Conference Team at speaker@aanp.org. If you have already registered for the conference and paid the registration fee, you will receive an automatic refund. Please allow 5-7 business days for processing. Access to the On-Demand portion of the conference is included with in-person registration.

 

Housing

Hotel stays are only reimbursable if booked within the designated AANP housing block. Please reserve your room as soon as possible to ensure you have a reservation within AANP’s housing block. If your stay is outside of AANP’s housing block, reimbursement for those nights will not be granted. PowerPoint Presentation

Please review the guidelines below and submit your PowerPoint presentation(s) no later than March 28, 2025. (Instructions on how to submit your PowerPoint presentation(s) are forthcoming).

  • PowerPoint Template: Please use this template to develop your PowerPoint. Presentations will be accepted in the Microsoft PowerPoint format only.
  • Presentation Rules: Please review all Presentation Rules as well as the comprehensive Speaker Guide while developing your presentation. Following the guidelines is imperative to ensure a seamless review process and minimize the number of revisions required. The presentation(s) will be reviewed and assigned continuing education (CE) credit hour allotment once approved.
    • No outside equipment — including laptops, flash drives or other hardware or software — can be used.
    • Videos must be inserted into your presentation or uploaded as a separate file.
    • To accredit an educational activity for CE credit, specific accreditation standards must be followed. Presentations or additional file types that do not meet AANP CE Accreditation Standards will be canceled and not included in the conference schedule. Please review all details in the Presentation Rules and Speaker Guide. Once your PowerPoint presentation(s) are submitted and approved for AANP CE Credit, no changes will be allowed before or during the conference.
    • Promotional activities may not occur during CE activities. This includes self-promotion.
  • Speaker Portal: The Speaker Portal will open at a later date for slide deck submission. You will receive a separate email notification with a link to access the Speaker Portal in the coming weeks.
    • Please be prepared to submit your presentation slide deck on or before March 28, 2025.
  • Handouts: AANP will create electronic handouts of your presentation in advance of the conference for attendees to reference during and after your session. No handouts or materials will be printed for the in-person portion of the conference.

Session Selected to be On-Demand

The On-Demand portion of the conference will be available June 27-Aug. 4, 2025. Once you receive accreditation approval, you are welcome to self-record your presentation and upload your recording to the Speaker Portal, or you may book time with an AANP staff member to assist you with your recording. Recordings must be submitted no later than May 9, 2025.

 

Speakers that require recording assistance from AANP staff will be invited to record their presentation with a browser-based platform called Riverside.fm. This easy-to-use platform does not require users to download or install any platform-specific software. The only requirement is that users will need to use the Google Chrome browser to access their recording link and have a working web camera/microphone. Please review How to Prepare Before Recording in AANP’s Speaker Guide along with the detailed instructions on how to navigate Riverside.fm.

 

Reimbursement

AANP provides reimbursement for travel expenses as stated in your speaker agreement. Review the full reimbursement policy in your speaker agreement prior to booking travel. Reimbursement forms and on-site conference information will be made available prior to the start of the conference. Any missing information, receipts and documentation can result in significant delays in the processing and payment of your reimbursement after the conference.

  • Hotel: Hotel stays are only reimbursable if booked within the designated hotel block. Hotel stays outside of this block will not be reimbursed. If free parking is not available, self-parking will be reimbursed at a reasonable rate.
  • Airfare: Detailed receipt(s) should show airfare class and cost. Airfare should be purchased at the lowest round trip, coach-class fare available. Airfare costs exceeding $700 U.S. dollars will not be reimbursed unless written approval is given by AANP prior to booking the flight and screenshots of flight options are provided. A reasonable standard luggage fee for one bag, early check-in and seat fees within the coach cabin will be reimbursed. Upgrades in economy, business and first-class tickets will not be reimbursed.
  • Airport Parking: Parking will be reimbursed at the lowest cost, long-term parking or off-site parking available. Detailed receipts are required.
  • Taxi/Rideshare: AANP will reimburse rides to and from home and the airport only at the least expensive ground transportation rate available. Detailed receipt(s) must include pickup and destination addresses.
  • Mileage: Screenshots of Google Maps are required. Maps must show round trip mileage to and from home and the airport, or round trip mileage if driving to the conference (max 750 miles round trip). The shortest mileage will be reimbursed.
